Within that context, the Agile Program Operations Coordinator role provides the operational backbone for Agile Academy and related program activities. The scope of this role sits at the intersection of Agile Academy operations, training logistics, and program coordination. It is primarily an operational enablement role focused on making the Agile@Booking.com training and support model run smoothly and consistently, rather than a coaching or people leadership role.



Role Description


Program Operations Coordinator within Agile@Booking.com supports the smooth execution of training and program operations by coordinating schedules, maintaining training logistics, and ensuring key operational details are accurate and up to date. This role helps reduce friction for coaches, trainers, change managers, and program leads by keeping training delivery organized, dependable, and operationally consistent.


The role also protects the integrity of the broader program by ensuring confirmed changes to dates, locations, trainers, coaches, and session setup are reflected in the central schedule so that delivery, communication, and downstream survey or reporting processes remain reliable.




Key Job Responsibilities and Duties


  • Coordinate training schedules and logistics; maintain the training calendar and support the operational planning needed to run Agile Academy sessions at scale.


  • Manage room planning and session logistics; coordinate room availability and resolve location-related issues for scheduled training sessions.


  • Maintain schedule accuracy; capture and update confirmed changes to dates, trainer assignments, coach coverage, and delivery setup in the master schedule.


  • Support trainer and coach coverage coordination; help manage replacements or changes in delivery support so sessions remain properly staffed.


  • Support invite and training-readiness activities; help ensure that session details are aligned so invites and related communications can be sent accurately and on time.


  • Protect reporting and survey data quality; ensure operational changes are tracked consistently so downstream reporting remains usable and accurate.


  • Act as a coordination point for operational questions; support coaches and other stakeholders with training schedule and logistics queries, helping drive timely resolution.


  • Provide broader program support where needed; contribute to operational coordination for kick-offs, sessions, and related Agile@Booking.com activities.



Communication


  • Cooperates frequently with: Agile Academy trainers, Agile Coaches, and others involved in training delivery, facilities, L&D Ops, EBPs.


  • Cooperates frequently with: Program management and program team partners on planning and execution topics.


  • Cooperates regularly with: Change management and delivery leadership when session readiness, planning, or communications require coordination support.


  • Shares information with: Pod Leads, coaches, and trainers when schedule changes, coverage issues, or logistics updates affect delivery.



Qualifications & Skills


  • Strong coordination and operational planning skills in complex, multi-stakeholder environments.


  • High attention to detail in managing schedules, logistics, and delivery dependencies.


  • Ability to maintain accurate records and reflect confirmed changes in a structured and timely way.


  • Strong written and verbal communication skills, with the ability to coordinate across coaches, trainers, program leads, and change partners.


  • Comfortable working across documents, spreadsheets, scheduling tools, and collaboration channels to support program execution.


  • Ability to manage ambiguity, prioritize operational issues, and keep multiple moving parts aligned under time pressure.


The payrate for independent contractors is 20-57 EUR/hr.
