As a Coordinator, you will support a team of specialists that ensure seamless coordination of long term and/or complex sickness absence cases. The Coordinator is responsible for coordinating, administering and supporting the team of Reintegration Advisors & Prevention officer(s). You will support the Prevention & Reintegration team in regard to absence guidance and help the Reintegration Advisors ensure compliance with both the Dutch Gatekeeper Act and the company's internal policies. You will support the team with administrative duties, and act as a first point of contact for questions. You ensure our employees and people managers get optimal support in order to shorten the amount of time before sustainable reintegration as much as possible, by providing them advice, instructions and status-updates. You support the team with their workload by ensuring files are kept up-to-date, new cases are assigned to the correct Advisors, and communication with stakeholders (both internal and external) is being picked up. You proactively identify areas for improvement with regard to managing sickness and bring suggestions when there are opportunities to improve our policies and processes around sickness management.

  • Check communication channels daily; and maintain them throughout the day; including but not limited to, chat, e-mail, and a ticket system;


  • Resolve (admin) requests where possible, or assign them to the correct person;


  • Make sure all external parties are informed in a timely manner (UWV, insurance companies)


  • [Re]Schedule appointments for employees at the company doctor when necessary;


  • Support the Reintegration Advisors with administrative and organizational tasks, such as filing documents, updating files, and answering e-mails;


  • Creating meeting notes during team meetings;


  • Support organizing team days or activities in terms of planning;


  • Connect with other internal stakeholders such as HR Operations, HR Advisory and Payroll where tasks have an overlapping aspect;


  • Under the support of the Reintegration Advisor, handle end-to-end sickness absence process portfolio for long-term and/or complex cases, while connecting with, and managing, the relevant stakeholders to ensure compliance and progress of reintegration.


  • Manage all mandatory information, tasks and responsibilities to both the employee and the manager during a sickness absence case in accordance with the Gatekeeper Act and internal policies.


  • Manage all mandatory information, tasks and coordination to & with external Arbo services (e.g. Company Doctor, mediators, workability specialists)


  • Ensures compliance with the NL social security institution.




B.skilled



  • 1-3 years of administrative experience in a similar role within an international organisation


  • Experience in HR Support roles in international, fast-paced organizations;


  • A strong interest in the field of Wellbeing, Sickness Management, and Case Management (Wet Verbetering Poortwachter) is a plus;


  • Ability to work independently in an organized way; proactively picking up opportunities to support the team with administrative tasks;.


  • Ability to structure work and effectively drive adherence to the applicable calendar/action plan from all stakeholders.


  • Ability to effectively manage expectations and escalate to relevant stakeholders when applicable.


  • Excellent verbal and written communication skills (to deal with sensitive, personal cases)


  • Flexible and able to cope well with change;


  • Bachelor's Degree;


  • Fluent in English is essential - other languages are a plus.



The payrate for independent contractors is 20-55 EUR/hr
